Project Management Coordinator

Job Description

We are on the lookout for a detail-oriented and proactive Project Management Coordinator to join our team for a US based client. The Project Coordinator will play a crucial role in ensuring the smooth coordination and execution of residential construction projects, from initial planning to completion. This position requires proficiency in English, strong organizational skills, excellent communication abilities, and the capacity to manage multiple tasks simultaneously.

 

Responsibilities:

 

Internal Coordination:

  • Internal coordination with design, sales, estimating, and production teams.
  • Facilitate communication and updates between departments.
  • Set and track deadlines for design and estimation processes.
  • Support the estimating team with detailed scope definitions and pricing inputs.

 

External Coordination:

  • Coordinate externally with engineering firms, soils engineering, surveys, title 24 compliance, green halo, and permitting agencies as per the USA laws.
  • Facilitate client meetings, communications, and project updates.
  • Coordinate subcontractor walks for estimating purposes.
  • Obtain and update signed subcontractor agreements.
  • Collect and organize documentation for jobsite binders in the US.
  • Update jobsite binders with client/design team revisions.

 

Subcontractor Coordination:

  • Request estimates from preferred trade partners as required.
  • Identify additional trade partners for comparative bidding.
  • Obtain supervisor approval on all trade partner agreements.
  • Ensure all trade partners provide required documentation prior to project commencement.

 

Finish Materials Coordination:

  • Chart and track all finish materials using provided spreadsheets.
  • Develop and maintain a detailed tracking system for finishes across projects.
  • Place orders for finish materials ensuring alignment with project schedules.
  • Communicate regularly with clients and internal teams regarding finish material status.

 

Estimating Support:

  • Read and interpret plan sets to assist with estimating processes.
  • Input pricing information from internal rubrics and subcontractor bids.
  • Coordinate with the estimating team on project priorities and deadlines.

 

Performance Objectives:

  • Manage multiple project scopes and deadlines concurrently.
  • Become proficient in Builder trend or similar project management software.
  • Track billable client time and maintain accurate project action item lists.
  • Support procurement of rough and finish materials as needed.
  • Foster relationships with subcontractors, vendors, and suppliers.
  • Negotiate preferred pricing with vendors and suppliers.
  • Coordinate site services such as fencing and portable restrooms.

 

Requirements:

  • Proficient in English with Level C1 and superb communication skills.
  • Bachelor’s degree in Construction Management, Engineering, or related field preferred.
  • Proven experience of 3-4 years in project coordination within the residential construction industry.
  • Ability to work the night shift.
  • Strong understanding of construction processes, laws and documentation in USA.
  • Proficiency in project management tools and software (e.g., Buildertrend, MS Project).
  • Excellent organization, and time-management skills.
  • Ability to work effectively under pressure and manage competing priorities.
  • Detail-oriented with a focus on quality and accuracy.
